TITLE: Shipping Clerk

Reports To: Financial Controller/QA Manager
1.0 SCOPE OF THE POSITION
Responsible for the recording and maintenance of inward and outward stock movements, manually and on computer for Brisbane and Perth.
Carry out other administration functions as advised by the Financial Controller/QA Manager
2.0 FUNCTIONAL TASKS AND RESPONSIBILITIES
Participate as a Team Member.
Opening shipments on computer on receipt of overseas suppliers invoices.
Matching up invoices with overseas orders
Receipting goods into stock local and overseas – GRN, costings , etc.
Updating overseas orders, manually with quantities received against relevant paperwork. Updating ETD dates on computer (units only).
Filing of overseas orders, branch stock transfers, Goods Received Notices, shop orders, etc.
Keeping manual records of all opened and completed shipments in relevant registers.
Maintain shipment files, (freight / customs documentation).
Liaising with customs agents during the transition of goods
Monitor overseas orders, administration of acknowledgements.
Processing credit notes (stock returned or errors), on computer.
Perform stock adjustments on the computer when required.
Perform cost adjustments on the computer when required.
Print In Transit (invoices) list, print a “Shipment Invoice Report” at end of month.
Switchboard relief as required.
Monthly Intercompany Accounts Payable reconciliations
Monthly Margin Analysis Report

Essential – Bookkeeping skills
Desirable – Tertiary Qualifications in Bookkeeping

Reports to the Financial Controller
5.0 DELEGATION IN EVENT OF ABSENCE
In the event of absence, the Marketing & Administration Assistant will assume these responsibilities.
